Credit Requests

Credits can be raised back to suppliers when there is a discrepancy on an invoice.

Raising Requests

Follow these steps to raise a credit request:

  1. Apply filters or use search to locate the required invoice

  2. Click Raise Credit

    All items on the original invoice will be displayed
  3. Select each product row that is being requested for a credit by setting the check box

  4. Adjust the Quantity | Unit Cost as required

  5. Select a Reason for the credit

    Alternatively select the Set All Credit Reasons drop down to auto populate each row that is being requested for credit
  6. If required click Autofill Variance

    Autofill will set the variances between accepted and invoiced values for quantity and price
  7. Click Create Credit Request

    The request will be in a Pending state until the supplier takes action
Zonal recommends attaching any supporting paperwork or images to the order in Acquire to help the supplier make a decision about the credit request.

Viewing Credit Requests

  • The invoice row will display a ! icon if a request has been added

  • A full list of credit requests can be viewed in the Credit Requests tab

  • The states of a credit request are:

    • Pending - supplier has received the request, response from supplier required

    • Cancelled - credit request cancelled, no further action required

    • Accepted - accepted by the supplier, no further action required

    • Rejected- rejected by the supplier, no further action required

  • Once the request has been accepted, a credit note is raised against the invoice in question and will follow the usual process.
